What’s the role?

The Systems & Data Coordinator is a critical role, tasked with building robust source to pay systems andNprocesses and developing and strengthening financial controls and compliance across all CAVU spend. Responsible for coordinating all activities required (across CAVU, MAG Group and the Supply Chain) to ensure the effective and efficient requisitioning of all products and services, directly impacting the success of the CAVU operation.

You will be required to manage compliance with the relevant systems and processes, with a high degree of accuracy, to ensure payments are made to contract terms to ensure continuity of supply. Business planning and budgeting responsibilities are also required via the development and assignment of appropriate buying channels (Purchase orders, non-release contracts, P cards) for a variety of products and services.

About You:

  • Responsible for the creation of new CAVU suppliers onto the SAP system and liaison with MAG Group Accounts Payable, Treasury and Procurement to ensure master data accuracy, leading to the upholding of contractual requirements between CAVU and CAVU suppliers.
  • Develop the supplier onboarding process, so that suppliers are appropriately segmented into “prospective”, “transacting” and “preferred”, liaising with suppliers to create efficiencies and avoid the manual processing of invoices where possible.
  • Maximise the functionality and content of supply chain systems, driving continuous improvements in line with policy to enhance the CAVU and Supplier user experience.
  • Generate forms, systemise policies, templates and questionnaires within our SAP Source to Contract environment as required by the Global Supply Chain Director / Change and Delivery Lead.
  • Leverage relationships across CAVU and MAG Group functions (Finance, Technology), to manage the delivery of a “buying channel” strategy, generating fit for purpose buying channels for goods, works and services across CAVU, including catalogues, non-release contracts, purchase orders, p-cards, supplier accounts as required / fit for purpose.
  • Raise purchase requisitions as required in the Ariba system for all CAVU regions and business areas and liaise with suppliers to ensure they comply with the required invoicing process.
  • Offer system and process support to the wider CAVU business on the SAP system (including user testing and assisting with training) and support the development of learning materials as required
  • Resolve invoice queries to support commercial discussions, liaising with Group Accounts Payable to optimise payment runs.
  • Build accuracy into CAVU spend analysis by supporting material code / GL mapping.
  • Represent CAVU when liaising with MAG Group on supply chain systems strategies and upgrades across the SAP product suite, including any transition to S/4 HANA.
