The Purpose:
To provide a MI systems administration service to the Facilities & Maintenance department. Duties will include logging work requests received through the helpdesk both on the dedicated webform / via e-mail / phoneline and closing out work orders by the monthly reporting deadline. Ensuring high customer services standards and basic knowledge of CMMS reporting to assist flagging areas of concern with the Facilities & Maintenance Management Team.
The Role:
- Preparing risk assessments and health and safety data as required, responding to audit trackers, inspection trackers and review requirements for all H&S related documentation. Responding to pest control reports and updating report actions with Regulatory Services.
- Updating fire door reports & stadium compliance folder. Assisting the department to integrate all H&S needs into the Eco Online System which is a reporting tool for Regulatory Services.
- Raising purchase orders for the Facilities & Maintenance team at Old Trafford & Carrington and for our pitches dept, dealing with PO queries in a timely manner. Raising new supplier & capex requests. Tracking Capex requests and updating the spreadsheet.
- Assisting Facilities & Maintenance management team with general administration duties & contractor / contract management wherever necessary and supporting the other members of the administration team. Providing admin support for the facilities department at Carrington and our pitches dept.
- Recording overtime, callouts & lieu for the department, providing reports back to the MI & Admin Manager & Head of Facilities & Maintenance.
- Knowledge of waste / utilities reporting to offer support to other members of the MI systems team. Booking skips, preparing internal site audits, and preparing for external audits. Collating reports / presentations.
- Covering reception as and when required (anytime between 8:30am – 17:00), which includes task such as managing contractor management administration including site access permissions, passes / key management, special permits, inductions.
- Adopting the department communicator role when covering reception, ensuring all notices and comms are communicated promptly to all departmental staff.  Minuting all-staff meetings.
- Rota requirement for match day cover & rigging days based in reception if requested by the MI & Admin Manager & Head of Facilities & Maintenance.
- Support building the next phase of the CAFM system. Produce reports from the Fire Risk Assessment software.
- Completing club wide mandatory training and any courses recommended by MI & Admin Manager & Head of Facilities & Maintenance.
Principal Accountabilities:
- MI systems & Admin support to the MI & Admin Manager and Head of Facilities & Maintenance.
- Working to show the department in the best light with a focus on customer service.
- Flexibility to cover for all administration tasks as and when required by the MI & Admin Manager.
- Monitor & cover all Facilities & Maintenance inboxes – GPS Helpdesk, GPS Order Number & GPS Reception.
- Working with the MI & Admin Manager to implement new functionality in the helpdesk (CAFM system) – i.e. Inspections, analytics, asset management & PPMs.
- Implement new contractor management protocols in line with regulatory services policy.
- Ensure all H&S, compliance & environmental records will stand up to the scrutiny of audit.
The Person:
Knowledge, Experience & Skills
- Experience of reception work is desirable but not essential as full training will be given.
- Ideally, the successful candidate will have worked in a Management Infrastructure / helpdesk / customer services environment and will have good working knowledge of CAFM systems.
- Skills in data analysis are preferable, but not essential as they can be developed as each new software package is implemented.
- The availability to provide reception cover & admin support to cover matches over weekends and evenings is essential, this will be on a rota basis and will be arranged with as much advance notice as practicable.
- A good working knowledge of the Microsoft office suite with advanced knowledge of Excel and PowerPoint is desired.
- A great communicator & motivator who can show excellent interpersonal skills at all levels within the business.
- A flexible approach to work is essential, as the facilities & maintenance department is a very reactive sector.
- Working alongside the Facilities & Maintenance Management Team to demonstrate a proactive approach to work and create solutions using available data.
