Job summary

To assist the resourcing team in ensuring the smooth day to day running of operation and service, and to promote the image and reputation of the Trust.

The post-holder will be expected to exercise initiative in a high profile and busy environment. The post-holder will need to demonstrate the ability to liaise effectively and confidently with people at all levels and recognise the importance of confidentiality and sensitive issues.

 

 

Main duties of the job

  • Answering the telephone and dealing with enquiries in accordance with instruction, relaying any queries and messages.
  • Receive and distribute post.
  • Scanning of documents
  • Data Entry into Trac, NHS Jobs and Microsoft packages
  • To support the review of existing administrative processes and procedures, contributing ideas for development with the team implementing changes as agreed.
  • To develop personal knowledge of relevant administrative and organisational policies and procedures.
  • To process all forms of mail (including faxes and emails) opening, distributing and undertaking the necessary action as appropriate.
  • To promote a customer led service and act as first point of contact for interdepartmental/departmental and external contacts.
  • To deal with telephone, in person and electronic queries and where appropriate channel them to the relevant member of staff.

Person Specification

Knowledge and Skill Requirements

Essential

  • Working knowledge of Microsoft applications including Word, Excel, PowerPoint, Publisher, Outlook and the internet.
  • Ability to work across different computer operating systems for input of data
  • Effective working within and across teams
  • Excellent written and verbal communication skills
  • English and Maths GCSE or equivalent

Desirable

  • Experience of using corporate databases and producing reports
  • Successful completion of the European Computer Driving Licence (ECDL) or equivalent or comparable IT competence gained through experience.
  • A level Grade C or above in Mathematics/English.

Qualifications – Academic/ Professional

Essential

  • High general standard of education achieved, or equivalent.

Experience

  • Experience of a training administration background
  • Experience of working in a customer-focused environment
  • Ability to work on own initiative.
