The Role:
The Administrative Assistant will support the effective administration and coordination of the team’s activities, including preparing data, producing reports, and maintaining team records and electronic filing systems. The postholder will also be responsible for the preparation and maintenance of task lists via Planner, alongside supporting monthly reporting and year-end management reporting processes.
A key focus of the role will be monitoring shared inboxes, emails, and telephone calls, responding to general queries or directing them to the appropriate members of the team. The role will also involve coordinating meetings, preparing and circulating agendas and minutes, and providing diary management support for the Estate Space Manager.
An important aspect of the position is maintaining professional and effective liaison with a range of internal and external stakeholders, including senior leaders, project managers, and consultants, ensuring enquiries are handled efficiently and appropriately.
The postholder will also assist with maintaining accurate and up-to-date estates space data and drawing registers.
About you:
You will be a self-motivated, highly proficient administrator with experience of working in a team in an office environment. You will have good organisational skills, with the ability to prioritise work, dealing with competing demands, whilst maintaining accuracy and attention to detail.
Your excellent communication skills, whether in person, on the phone or via email, will be essential for keeping the team co-ordinated and up to date with key projects, diary management, organising meetings and minute taking.
Demonstrable IT literacy including experience of using databases and Microsoft 365, with strong emphasis on Sharepoint, Teams, Planner, Copilot, Excel and Word.
